What is the common language spoken at VMworld 2016?
The official language of the conference is English, and all General Sessions, Breakout Sessions and HOLs will be presented in English. Translation services will not be provided. If you elect to bring your own translator, please contact the registration support team.

Is there an age minimum for VMworld?
You must be at least 18 years of age to attend the conference and expo.

Is there a deadline for registration?
No, you can register online through the last day of the conference. However, there are discounts for early registration. Please visit the conference pricing page for the most current information.

What payments do you accept for VMworld 2016 registration?
When registering, you may pay by credit card or wire transfer. Payment must be received to print a conference badge on-site. Please note that after 1800hrs BST on 16 September 2016, payment is accepted by credit cards only.

Can I use PSO credits to register?
Yes, a limited number of passes are available for purchase with PSO credits. For complete details, please see our PSO Credits FAQ.

What is included in the registration fee?
Your registration fee for a Full Conference Pass entitles you to the following:

Do I need a badge?
Yes, a conference badge is required for entry into the conference and should be worn at all times. Please pick up your badge at the VMworld 2016 registration desk during open registration hours. For security purposes, be prepared to show identification. If you lose your badge, you may show photo identification and have it reprinted at a registration check-in deck for a €50 fee.

Do I need a visa to attend the conference?
There are a few countries that require a visa for entry. We recommend checking in advance with your country's local Spanish consulate or embassy for details and requirements.

How do I obtain a visa invitation letter?
During the registration process you will be asked if you require a visa letter. In order to request a visa letter from the VMworld team, please be prepared to provide the following information:

  • Nationality
  • Passport Number
  • Place of Issue
  • Date of Issue
  • Date of Expiration
  • Are you a Government Official [Yes, No]
Visa invitation letters will be submitted for approval for those attendees that have requested a visa invite letter and have completed registration data for a Full Conference pass including payment. Please note we can only issue visa letters for fully paid attendees and you will need to allow two to three weeks for your embassy to process your request. Visa letter requests will not be accepted after 16 September 2016.

Can I be denied registration for any reason?
VMware reserves the right to deny registration to any individual or entity for any reason, at VMware's sole discretion, including past or present failure to meet VMware's standards of conduct, and also including but not limited to, engaging in violent, illegal, threatening or discriminatory conduct.

Are guests permitted to attend?
Attendees may purchase one Guest Pass for a guest who is 21 years of age or older. The Guest Pass fee is €200 and allows registered guests entry only to the VMworld Welcome Reception and the VMworld Party. The Guest Pass does not include access to Breakout Sessions, General Sessions, Hands-on Labs, continental breakfast, lunch, or any other activities that are reserved for attendees with Full Conference passes. Guest Passes can be purchased during online registration or onsite at the conference registration desk.

Can I register for both VMworld US and Europe?
Registration for each event is separate, and you will need to register and pay for each event independently.

Are there any discounts?
Yes, we offer discounts for groups, VMworld alumni, VMUG Advantage Level members and VMware Certified Professionals. Please visit the conference pricing page for the most current information.

What special dietary requirements are accommodated with the meals at the Conference?
If you have any special dietary requests, please be sure to inform us during the registration process. Limited vegetarian options are available at most Conference-related meal functions.


Do I need to contact the hotel to book my reservation?
No, when you register online for VMworld 2016, you will have an opportunity to request your hotel, check-in and check-out dates, and provide your credit card information. A hotel reservation will be made for you and guaranteed with your credit card.

Do I need to give a credit card to reserve my hotel room?
Yes, a credit card will be needed to confirm your reservation at a designated VMworld 2016 hotel.

Will I receive a hotel confirmation?
Yes, your hotel confirmation will be included within your registration confirmation emails for VMworld 2016. The email will include your check-in and out dates, together with the hotel name and address. You will not receive a confirmation number for your booking.

What is included in my room rate?
Rates are quoted per night based on single occupancy and include buffet breakfast, 10% VAT and city tax.

What if I need a room for double occupancy or a suite?
Please contact the VMworld Housing Team for double occupancy rates and for any upgrades you may wish to make.

If I am not registered for VMworld 2016, how do I book my hotel room?
To take advantage of VMworld's discounted room rates, you must be registered for VMworld 2016.

Which hotels offer smoking rooms?
Smoking rooms cannot be guaranteed and are only available upon request at check-in.

What do the hotels cost and how close are they to the Fira Gran Via?

Are there conference shuttles between the VMworld hotels and the venue?
There are no shuttles between the hotels and the Fira Gran Via. To get to the venue you can take the metro to either Europa Fira station (17-minute walk) or Fira station (7-minute walk).

Is there transportation to/from the airport?
A shuttle service is offered to attendees from the airport to VMworld 2016. Look for the VMworld 2016 sign on arrival. The shuttle drop off/pick up location is Fira Gran Via, North Entrance, Hall 8.

Airport shuttle hours:

  • Thursday 20 October 12.00 – 18.00
The Fira metro station is located a short walk from the venue entrance, Fira Gran Via, North Entrance, Hall 8. The line is L9 and it can be taken directly from Barcelona Airport Terminals 1 and 2 to the venue.


What is the difference between the Content Catalog and Schedule Builder?
The Content Catalog is published in early summer and is available to the public. It is the comprehensive list of Breakout Sessions, Hands-on Labs, and Group Discussions. Registered attendees and prospective attendees alike use the catalog to check out topics and speakers and find their “sessions of interest.” Schedule Builder is published once the sessions are actually scheduled. It is not available to the public and allows only registered, Full-Conference attendees to view a complete listing of scheduled Breakout Sessions; pre-register for sessions; and start building out their personal schedules for the week. Breakout Sessions can fill up quickly, so we recommend you pre-register at your earliest convenience.

Can I get copies of the material presented at the conference?
Yes, the presentations will be posted after VMworld 2016. Please note that only those sessions that are pre-approved for publication are made available online. To view sessions from past VMworld events, please visit
