What is VMworld?

VMworld offers attendees informative Breakout Sessions and Hands-on Lab training, plus access to a wealth of technology partners to discuss virtualization best practices, building a private cloud, leveraging the public cloud, managing desktops as a service, virtualizing enterprise applications and more.

What is the common language spoken at VMworld 2015?
The official language of the conference is English, and all General Sessions, Breakout Sessions and HOLs will be presented in English. Translation services will not be provided. If you elect to bring your own translator, please contact the registration support team.
Is there an age minimum for VMworld?
You must be at least 18 years of age to attend the conference and expo. You must be 21 or older to attend the evening functions.
What is the recommended conference attire?
Casual to Business dress is appropriate.
Will Wi-Fi be available?
Yes, Wi-Fi hot spots are available throughout the conference facility for paid attendees.
Is the Moscone Center ADA compliant?
Yes, the Moscone Center’s intention to provide all reasonable accommodation for persons with disabilities to assist them in attending events held at the center. The Moscone Center Accessibility Information provides additional information.

What are the registration fees for the event?

Is there a deadline for registration?
No, you can register online through the last day of the conference. There are discounts for early registration. Please visit the conference pricing page for the most current information.
What payments do you accept for VMworld 2015 registration?
When registering, you may pay by credit card, check, or wire transfer. Payment must be received to print a conference badge on-site.
What is included in my registration fee?
Your registration fee for a Full Conference Pass entitles you to the following:
- Welcome Reception
- General Sessions
- Breakout Sessions (Note: Some sessions require valid Partner status)
- Hands-on Labs
- VMworld 2015 Party
- Solutions Exchange
- Meals as provided by VMworld 2015
Do I need to wear my badge throughout the entire VMworld 2015 conference?
Yes, your conference badge is required for entry into the conference. Please be aware that you will be asked for valid photo identification at registration before receiving a conference badge.
What if I lose my badge?
Go to a registration Assisted Check-in desk and have your badge reprinted. You will be required to show photo identification and pay $75 badge replacement fee.
Do I need a visa to attend the conference?
There are a few countries that require a visa for entry. We recommend checking in advance with your country's local US consulate.
How do I obtain a visa invitation letter?
During the registration process you will be asked if you require a visa letter. In order to request a visa letter from the VMworld team, please be prepared to provide the following information:
- Full Name on Passport
- Date of Birth
- Place of Birth
- Gender [Male, Female]
- Passport Number
- Place of Issue
- Date of Issue
- Date of Expiration
- Are you a Government Official [Yes, No]
Visa invitation letters will be submitted for approval for those attendees that have requested a visa invite letter and have completed registration data for a Full Conference pass including payment. Please note we can only issue visa letters for fully paid attendees and you will need to allow 2-3 weeks’ time for your embassy to process your request. Visa letter requests will not be accepted after August 1, 2015.
Can I be denied registration for any reason?
VMware reserves the right to deny registration to any individual or entity for any reason, at VMware's sole discretion, including past or present failure to meet VMware's standards of conduct, and also including but not limited to, engaging in violent, illegal, threatening or discriminatory conduct.
Are guests permitted to attend?
Attendees are permitted to register one guest who is 21 years of age or older. The Guest Pass fee is $300 and only allows registered guests entry to the VMworld Welcome Reception and the VMworld Party. The Guest Pass does not include access to Breakout Sessions, General Sessions, Hands-on Labs, breakfast, lunch, or any other activities that are reserved for attendees with Full Conference passes. Guest passes can be purchased during online registration or onsite at the conference registration desk.
Where do I pick up my badge?
Please pick up your badge at the VMworld 2015 – Moscone West registration desk during open registration hours. For security purposes, be prepared to show identification.
Can I register for both VMworld US and Europe?
Registration for each event is separate, and you will need to register and pay for each event independently.
Are there any discounts for large groups?
Yes, there is a Group (5+) Discount. If you purchase five (5) or more Full Conference registration passes at the same time you will automatically receive a $100 discount per registration. To register a large group, you will be required to purchase a minimum of five (5) Full Conference passes using one (1) credit card in a single transaction. At the time of purchase you will receive, via email, a unique registration code that you can distribute to the individuals in your group. Each individual will be required to enter this group registration code as they begin their registration process.
There is also a Group (20+) Discount. If you purchase twenty (20) or more Full Conference registration passes at the same time you will automatically receive a $200 discount per registration. To register a large group, you will be required to purchase a minimum of twenty (20) Full Conference passes using one (1) credit card in a single transaction. At the time of purchase you will receive, via email, a unique registration code that you can distribute to the individuals in your group. Each individual will be required to enter this group registration code as they begin their registration process.
What are the requirements for the academic registration?
Registrant must use an academic email domain as their VMworld email address. Proof of your academic standing will be required when you check in on-site. Students must bring a copy of their class schedule showing 12 units or credits and a valid student ID. Full-time professors must bring a valid, accredited university ID. Failure to produce proof of your academic status will result in a charge of the on-site Full Conference registration fee of $2,195.
The title of Instructor, Faculty or Professor, qualifies you for the academic rate. IS/or Systems employees from a university do not qualify for academic rate.
What are the requirements for a government discount?
The Government discount applies to the Full Conference package only. Government discounts cannot be extended to non-profits.
Current full-time employees of US federal, state or local government agencies will receive $300 off “Full Conference Pass” registration fees for VMworld 2015.
To qualify for the discount, you must use your government email domain as your VMworld email address, and show your current, valid government identification card during registration check-in. If you are unable to provide identification, you will be charged the on-site Conference Pass registration rate of $2,195.
The government discount cannot be combined with any other discount offers. Government contractors, including contractors working on government “Cost Reimbursable Contracts”, are not eligible for the government discount.
Valid government identification consists of:
- Government issued Visa, MasterCard, or American Express
- Government picture ID
- Military picture ID
- Federally Funded Research Development Corp (FFRDC) ID
Are meals included in the cost of registration?
Breakfast, lunch, and refreshments will be provided daily. Full-Conference attendees are also invited to the Welcome Reception, and the VMworld Party. If you have any special dietary requests, please be sure to inform us during the registration process.
What special dietary requirements are accommodated with the meals at the Conference?
Limited vegetarian options are available at most Conference related meal functions. Below is a list of outlets within close proximity to the Moscone Center that can accommodate other special dietary requirements:

- Miller’s East Coast West Delicatessen (2 miles by car) – 1725 Polk Street

- San Francisco Soup Company (0.4 mi walking) (2 miles by car) – 845 Market Street, inside Westfield Shopping Centre - Soup, Salad and Sandwiches

TRAVEL & HOUSING
Do I need to contact the hotel to book my reservation?
No, when you register online for VMworld 2015, you will have an opportunity to request your hotel, check-in and check-out dates, and provide your credit card information. A hotel reservation will be made for you and guaranteed with your credit card.
Do I need to give a credit card to reserve my hotel room?
Yes, a credit card will be needed to confirm your reservation at a designated VMworld 2015 hotel.
What time is check-in and check-out at the hotels reserved for VMworld?
Standard hotel check-in time is 3:00PM and check-out time is 11:00AM, but these times may vary depending on the hotel you choose.
If I am not registered for VMworld 2015, how do I book my hotel room?
To take advantage of VMworld's discounted room rates, you must be registered for VMworld 2015.
Which hotels offer smoking rooms?
Smoking rooms cannot be guaranteed, and are only available upon request.
What do the hotels cost and how close are they to the Moscone Center?
There are many hotels within walking distance to the Moscone Center. For those that are not close enough to walk, there will be shuttle service. Visit our travel page to learn more.
Is there a Conference Shuttle Service?
Yes, a shuttle service will be provided. A route map and times will be posted closer to the conference dates.
Is there transportation to/from the airport?
What is the difference between the Content Catalog & Schedule Builder?
The Content Catalog is published in early summer and is available to the public. It is the comprehensive list of Breakout Sessions, Hands-on labs, and Group Discussions. Registered attendees and prospective attendees alike use the catalog to check out topics and speakers, and find their “sessions of interest.” Schedule Builder is published once the sessions are actually scheduled. It is not available to the public and allows only registered, Full-Conference attendees to view a complete listing of scheduled Breakout Sessions; pre-register for sessions; and start building out their personal schedule for the week. Breakout Sessions can fill up quickly - we recommend that you pre-register at your earliest convenience.

Can I get copies of the material presented at the conference?
Yes, the presentations will be posted after VMworld 2015. Go to www.vmworld.com for our library of Breakout Session materials. Please note that only those sessions that are pre-approved for publication are made available online.
