What is VMworld?

VMworld attendees are a mix of IT technical professionals and business decision-makers from organizations of all sizes, representing a wide range of industries.

VMworld 2014 Europe takes place 14 - 16 October, 2014 at Fira Barcelona Gran Via, Spain. Partner Day occurs on 13 October.

What is the common language spoken at VMworld 2014?
The official language of the conference is English, and all general sessions, breakout sessions and labs will be presented in English. Translation services will not be provided. If you elect to bring your own translator, please contact the registration support team.
Is there an age minimum for VMworld?
You must be at least 18 years of age to attend the conference and expo. You must be 21 or older to attend the evening functions.
What is the recommended conference attire?
Casual to Business dress is appropriate.
Will Wi-Fi be available?
Yes, Wi-Fi hot spots are available throughout the conference facility for paid attendees.
Is there an email contact for questions?

What are the registration fees for the event?

Is there a deadline for registration?
No, you can register online through the last day of the conference. There are discounts for early registration. Please visit the conference pricing page for the most current information.
What payments do you accept for VMworld 2014 registration?
When registering, you may pay by credit card or wire transfer. Payment must be received to print a conference badge on-site. Please note that after 1 September 2014, payment is accepted by credit cards only.
What is included in my registration fee?
Your registration fee for a Full Conference Pass entitles you to the following:
- Welcome Reception
- General Sessions
- Breakout Sessions (Note: Some sessions require valid Partner status)
- Hands-on Labs
- VMworld 2014 Party
- Solutions Exchange
- Meals as provided by VMworld 2014
Do I need to wear my badge throughout the entire VMworld 2014 conference?
Yes, your conference badge is required for entry into the conference. Please be aware that you will be asked for valid photo identification at registration before receiving a conference badge.
What if I lose my badge?
Go to a registration Assisted Check-in desk and have your badge reprinted. You will be required to show photo identification and pay €50 badge replacement fee.
Do I need a visa to attend the conference?
There are a few countries that require a visa for entry. We recommend checking in advance with your country's local consulate or embassy.
How do I obtain a visa invitation letter?
During the registration process you will be asked if you require a visa letter. In order to request a visa letter from the VMworld team, please be prepared to provide the following information:
- Full Name on Passport
- Date of Birth
- Place of Birth
- Gender [Male, Female]
- Passport Number
- Place of Issue
- Date of Issue
- Date of Expiration
- Are you a Government Official [Yes, No]
Visa invitation letters will be submitted for approval for those attendees that have requested a visa invite letter and have completed registration data for a Full Conference pass including payment. Please note we can only issue visa letters for fully paid attendees and you will need to allow 2-3 weeks’ time for your embassy to process your request. Visa letter requests will not be accepted after September 13, 2014.
Can I be denied registration for any reason?
VMware reserves the right to deny registration to any individual or entity for any reason, at VMware's sole discretion, including past or present failure to meet VMware's standards of conduct, and also including but not limited to, engaging in violent, illegal, threatening or discriminatory conduct.
Are guests permitted to attend?
Attendees are permitted to register one guest who is 21 years of age or older. The Guest Pass fee is €200 and only allows registered guests entry to the VMworld Welcome Reception and the VMworld Party. The Guest Pass does not include access to breakout sessions, general sessions, labs, breakfast or lunch, or any other activities that are reserved for attendees with Full Conference passes. Guest passes can be purchased during online registration or onsite at the conference registration desk.
Where do I pick up my badge?
Please pick up your badge at the VMworld 2014 registration desk in Hall 8 during open registration hours. For security purposes, be prepared to show identification.
Can I register for both VMworld US and Europe?
Registration for each event is separate, and you will need to register and pay for each event independently.
Are there any discounts for large groups?
Yes, there is a Group (5+) Discount. If you purchase five (5) or more Full Conference registration passes at the same time you will automatically receive a €75 discount per registration. To register a large group, you will be required to purchase a minimum of five (5) Full Conference passes using one (1) credit card in a single transaction. At the time of purchase you will receive, via email, a unique registration code that you can distribute to the individuals in your group. Each individual will be required to enter this group registration code as they begin their registration process.
There is also a Group (20+) Discount. If you purchase twenty (20) or more Full Conference registration passes at the same time you will automatically receive a €150 discount per registration. To register a large group, you will be required to purchase a minimum of twenty (20) Full Conference passes using one (1) credit card in a single transaction. At the time of purchase you will receive, via email, a unique registration code that you can distribute to the individuals in your group. Each individual will be required to enter this group registration code as they begin their registration process.
Are meals included in the cost of registration?
Lunch and refreshments will be provided daily. Full-Conference attendees are also invited to the Welcome Reception, and the VMworld Party. If you have any special dietary requests, please be sure to inform us during the registration process.
What special dietary requirements are accommodated with the meals at the Conference?
Limited vegetarian options are available at most conference-related meal functions.
TRAVEL & HOUSING
Do I need to contact the hotel to book my reservation?
No. When you register online for VMworld 2014, you will have an opportunity to request your hotel, check-in and check-out dates, and provide your credit card information. A hotel reservation will be made for you and guaranteed with your credit card.
Do I need to give a credit card to reserve my hotel room?
Yes. A credit card will be needed to confirm your reservation at a designated VMworld 2014 hotel.
Will I receive a hotel confirmation?
Yes, your hotel confirmation will be included within your registration confirmation emails for VMworld 2014. The email will include your check-in and out dates, together with the hotel name and address. You will not receive a confirmation number directly from the hotel for your booking.
What is included in my room rate?
Rates are quoted per night based on single occupancy and include buffet breakfast, 10% VAT and city tax.
What if I need a room for double occupancy or a suite?
Please contact the VMworld Housing Team for double occupancy rates and for any upgrades you may wish to make.

Which hotels offer smoking rooms?
Smoking rooms cannot be guaranteed, and are only available upon request.
What do the hotels cost and how close are they to the Fira Gran Via?
There are 35+ hotels located throughout Barcelona with various rates. Visit vmworld.com to learn more.
Are there conference shuttles between the VMworld hotels and the venue?
There are no shuttles between the hotels and the Fira Gran Via. There will be a shuttle service that runs on a loop between the Fira Europa metro station and the North Entrance of the Fira Gran Via. This service will be available every day of the conference.
Is there transportation to/from the airport?
A shuttle service is offered to attendees from the airport to VMworld 2014 and from the Europa Fira Metro station to VMworld 2014. Look for the VMworld 2014 sign on arrival. The shuttle drop off/pick up location is Fira Gran Via, North Entrance, Hall 8.

What is the difference between the Content Catalog & Schedule Builder?
The Content Catalog is published in early summer and is available to the public. It is the comprehensive list of breakouts, labs, and group discussions. Registered attendees and prospective attendees alike use the catalog to see what topics will be on the agenda, who is speaking, and to start noting their “sessions of interest”. Schedule Builder is published once the sessions are actually scheduled. It is not available to the public and allows registered, Full-Conference attendees only to view a complete listing of scheduled sessions, pre-register for sessions, and start building out their personal schedule for the week. Please note, some sessions fill up quickly and we recommend that you pre-register for sessions at your earliest convenience.

Can I get copies of the material presented at the conference?
Yes, the presentations will be posted after VMworld 2014. Additional information will be also be provided at the end of each session. Please note that only those sessions that are pre-approved for publication are made available online.
