VMworld Speaker FAQ

Q: Do I need to register for the conference?
A: Yes, registration is open for all Speakers.If you are speaking as a part of your Sponsor Session, you will receive specific registration instructions from the team managing your company’s presence at the event.

Q: Where do I pick up my badge?
A: Please pick up your badge at Registration in the Bella Center Foyer. Once you’ve registered, you will need to check in at the Speaker Services Lounge located on the first floor overlooking the registration area of the Bella Center.

Q: What type of conference access does my badge give me?
A: Your badge will give you full access to the event as well as access to the Speaker Services and Lounge.

Q: As a speaker, are my hotel accommodations paid for? How do I book them?
A: VMware Customers will receive one complimentary hotel night. Following completion of your registration you will need to visit https://vmworldeurope2010.phenix-events.com to book your room. Once on this site please select Speaker from the “User Category” menu and then select the appropriate sub category of speaker type. If you are eligible, the complimentary night will appear as paid on your check-out invoice. Employee speaker hotel accommodations will be prepaid by VMware for the number of nights authorized.

Q: Do I have a main VMware contact?
A: If you have questions, you can contact the Content Team at: VMworld2010Support@vmware-events.com.

Q: How will my presentation be distributed?
A: Your presentation will be made available for conference attendees to download in PDF format on the VMworld 2010 website the night before the conference. You are asked to specify if the PDF should include speaker notes. Please see My Tasks for details.

Q: Should I bring a backup copy of my presentation?
A: Your presentation will be pre-loaded into the projection system in your session room. However, we recommend you bring a copy on a USB flash drive in case of an emergency. Please note that we do not accept last-minute changes to presentations.

Q: What if I have last-minute changes to my presentation?
A. Since your presentation will be pre-loaded into the projection system the night before your session we cannot accommodate last-minute changes. If 24 hours remain before your presentation start time, you can bring critical changes directly to the speaker services room. A designer will make the changes directly on the presentation loaded in the system, which has already undergone legal and formatting review. Complete file swaps will not be accepted.

Q: May I distribute additional handouts during my session?
A: Yes, provided that the handout augments your presentation and is not promotional literature. You will be responsible for bringing the handouts to your session room. Please note that you should have your handouts shipped to your hotel and not to the venue. Responsibility will not be taken for deliveries made to the venue on behalf of speakers.

Q: Where will my session be held?
A. All conference sessions will be held at the Bella Center. The day and time of your session will be posted under My Schedule in the Speaker Resource Center. Remember to confirm your room assignment at the onsite Speaker Services room located on the Balcony of Level 1, 24 hours prior to your session. Room swaps do sometimes happen due to emergencies.

Q: How can I change my contact information or add / change a speaker?
A. If you have contact information changes or need to make a change in speakers, please email us the requested changes to VMworld2010Support@vmware-events.com.

Q: What is the attire for speakers?
A: We recommend that you dress in business casual. VMware Employees, don’t forget to bring your black staff shirts if you received them in San Francisco.

Q: What type of speaker orientation and onsite resources will be available?
A: All speakers are required to attend a Speaker Orientation Webex, date TBD. You will need to check in at Speaker Services located on the Balcony of Level 1 once you’ve received your badge.

Q: What will be included in the standard AV?
A: All rooms will be equipped with a laptop pre-loaded with your presentation, a projection system, projection screen, a microphone, wireless internet, and an internet cable. If you will be showing a demo, we recommend you bring your own computer to run the demo. If you need additional equipment, you will be able to request this in the Session Tasks section under My Tasks.
